Job Description:

Position Summary:

Great opportunity for someone looking to grow in the title industry in a high-volume company. Front Desk Receptionist with administrative responsibilities will assist in the daily operation of a busy title company.

Key Duties and Responsibilities include, but are not limited to:

  • Answer incoming telephone calls, direct calls to appropriate personnel and accurately take and relay messages as required.
  • Greet visitors, determine nature of business, and announce to appropriate personnel.
  • Maintain security procedures for the front desk and reception area.
  • Copy Buyer ID’s prior to being escorted to conference rooms.
  • Sort and distribute mail and other incoming correspondence.
  • Direct incoming packages and deliveries to proper parties.
  • Prepare all outgoing mail and title policies as instructed (regular mail, certified mail, courier and FedEx).
  • Log and track receipt of keys for upcoming closings; communicate with various vendors to ensure keys delivered timely
  • Maintain all homeowners’ association books and update as needed
  • Create packages for Buyers with homeowners’ association documents and keys
  • Handle the distribution of key/documents packages to sales centers for mail away closings
  • Provide additional administrative and clerical support as directed including, but not limited to, filing, scanning, copying, preparing reports and mailing labels.
  • Update Buyer information and records in Resware.
  • Keep reception area, conference rooms and coffee stations neat, clean, and replenished with needed supplies.
  • Other related duties as assignment by management

Education:

  • High School Diploma required.

Experience and Skills:

Experience:

  • Minimum of two years front desk/receptionist or administrative experience required. Experience in title company helpful but not required.

Abilities include, but are not limited to:

  • Must provide excellent customer service and greet all customers in friendly, welcoming manner.
  • Excellent verbal and writing skills.
  • Proficient computer skills include Word, Excel, and Outlook.
  • Ability to be flexible in duties wherever needed.
  • Excellent interpersonal skills and ability to work effectively in a team environment.
  • Strong organizational skills and attention to detail.
  • Must be able to handle multiple phone lines.
  • Must convey a positive attitude in a professional manner.
